Privacy Policy

PlaneCare International, LLC (“PlaneCare,” “we,” “us,” or “our”) provides FuelSmart Pro and the related PlaneCare tools. This Privacy Policy explains how we handle personal information in connection with our websites, mobile applications, calculators, reference materials, reports, tutorial library, accounts, and support services (the “Services”).

The Services include fuel tankering, aviation conversions, world time and ETD/ETA, Flight Mapper, CDM Planner, CORSIA and SAF tools, China RVSM tables, and crew duty, rest, and rotation planning. The information involved depends on the features you use and whether you use a local file, a hosted page, or an account-based service.

For questions or privacy requests, contact support@fuelsmart.io. This policy describes information practices; it does not replace the Terms & Conditions or obtain consent for optional processing merely because you read it.

Account and business information. When you create an account, purchase access, or contact us, the information may include your name, email address, company, account identifiers, subscription details, and authentication information needed to provide access.

Calculator, flight, route and crew inputs are not collected by PlaneCare. Values entered into the tools—including aircraft identifiers, fuel quantities and prices, routes, airports, dates, times, flight durations, emissions assumptions, crew names or labels, duty periods, and rest rotations—are processed locally in your browser or device. PlaneCare does not receive or store these inputs through normal use of the calculators and planners.

Support communications. If you send us a question, report, screenshot, or attachment, we receive the content you choose to provide and the contact details needed to respond. Remove unnecessary crew, passenger, location, or business information before sending an example.

Enter only information you are authorized to provide. The Services do not require passport numbers, government identification numbers, passenger manifests, or medical records for ordinary calculations. Use non-identifying crew labels where practical.

When you access a hosted website or online feature, the servers and providers delivering it may receive your IP address, browser and device information, requested resource, referring page where transmitted, request time, and error or security information. These records support delivery, troubleshooting, security, and abuse prevention.

This technical processing is distinct from analytics or advertising tracking. We do not use analytics trackers, advertising pixels, or cross-site advertising trackers. Third-party sites and services that you visit or connect to have their own information practices.

Calculator and planning inputs remain in your browser or device; they are not uploaded to PlaneCare, linked to your PlaneCare account, or collected by PlaneCare as you use the tools. This applies to calculator entries, flight and route details, and crew duty and rest inputs. If you deliberately send us an email, screenshot, report, or attachment containing those details, we receive the copy you choose to send for support. That voluntary disclosure is separate from collection by the tools.

Local storage, browser caches, and essential cookies may be used where needed to remember settings or a terms acknowledgement, maintain a signed-in session, or support loading and offline access. Storage behavior varies by tool and deployment. We do not use these mechanisms for advertising or analytics tracking.

Opening a local HTML file does not guarantee complete offline operation. Map tiles, airport data, or other online resources may still be requested. Disconnecting from the internet or blocking a provider may limit those features.

You can clear website data through your browser or device settings. Clearing browser data may remove saved preferences or local information; it does not delete account records, support emails, or copies you have exported or shared. Protect shared devices and local files against unauthorized access.

We use information as necessary to deliver the features you request, maintain accounts and subscription access, process transactions and receipts, answer support requests, resolve errors, protect the Services, prevent misuse, and meet legal and recordkeeping obligations.

Your calculation inputs are used locally to produce the requested results; PlaneCare does not collect them for analysis, profiling, product improvement, or advertising. If you ask us to investigate a problem and voluntarily send inputs or reports to support, we may review that copy to respond. We use separate technical and support information to maintain reliability without analytics or advertising trackers.

Where applicable data-protection law requires a legal basis, we rely on performance of a contract for requested Services; legitimate interests for proportionate security, fraud prevention, and support, subject to applicable safeguards; compliance with legal obligations; and consent where required. If we request consent, we explain the purpose and how to withdraw it.

We do not sell personal information. We do not share personal information for targeted advertising or cross-context behavioral advertising. We do not use analytics trackers or advertising trackers in our Services.

Disclosures needed to deliver the Services, such as payment processing, hosting, support, or a map request, are described separately in this policy. They are not permission to use your information for targeted advertising.

We will not introduce a materially different use of personal information without updating this policy and providing notice or obtaining consent where required by law. Browser privacy controls do not replace account deletion or other requests described below.

Service providers. Information may be disclosed to providers that perform functions for us, such as hosting, account services, payment processing, communications, and technical support, to the extent needed for those functions and subject to applicable contractual and legal restrictions.

Your instructions. When you choose to share a report or send an attachment, information may be disclosed to the recipients you select. PlaneCare does not automatically receive a copy of your calculator or planning inputs. Online map and reference-data requests are described in Section 8. Check the information and intended recipient before sharing.

Legal and security purposes. We may disclose information when required by applicable law or valid legal process, or as reasonably necessary to protect people, investigate fraud or security incidents, enforce lawful agreements, or establish or defend legal claims.

Business changes. Information may be disclosed as part of a proposed or completed merger, acquisition, financing, or transfer of our business, subject to appropriate confidentiality and applicable privacy requirements. We will provide notice where required.

OEM independence. PlaneCare and FuelSmart Pro do not represent aircraft manufacturers or original equipment manufacturers (OEMs). Naming an aircraft, manufacturer, or product does not make that organization our representative or imply that it receives your account or planning information. Third-party providers are addressed by their actual role in delivering the Services, not by an implied OEM relationship.

Flight Mapper and other connected tools may load map tiles or airport reference data from external providers. Depending on the selected layer and tool version, providers include OpenStreetMap, CARTO, Esri, OpenTopoMap, and OurAirports data hosted through GitHub.

Loading these resources sends the provider a network request that can include your IP address and browser information. Map tile requests identify the map area being displayed and can reveal an area of interest. An airport you enter is a planning input and is not necessarily your device’s location.

If a feature offers device-location access, it requests the applicable browser or device permission. You can deny or revoke that permission through your settings. This policy does not authorize background location tracking.

External providers apply their own privacy policies and may process information independently. Review their notices when using their services. A reference link to a data provider is different from a feature that actually requests data from that provider.

Apple App Store and Google Play purchases are processed by the applicable store under its own terms and privacy policies. We may receive transaction identifiers, purchase or subscription status, product information, and related billing records needed to provide access and support.

We do not collect or store full payment-card details within the FuelSmart Pro mobile app. For a website purchase, payment details are handled through the payment process presented at checkout; information received by us depends on that process.

App stores and payment providers independently handle certain payment, fraud-prevention, and legal functions. Managing or deleting a FuelSmart account does not automatically cancel a store subscription. Use the applicable billing or store controls to stop renewal.

The tutorial library serves instructional videos and related text. Our tutorial library does not contain analytics or advertising trackers. Hosted delivery of a page, image, transcript, or video can still generate the technical requests and logs described above.

Reports, printed pages, screenshots, and files you export can contain the inputs shown in them. You control the copies you save or share, and recipients may retain their own copies. A request to us cannot remove copies held solely on your devices or by independent recipients.

Our handling of information you send to us is covered by this policy. The informational and non-operational nature of the tools and tutorials is addressed in the Terms & Conditions.

Because PlaneCare does not collect calculator, flight, route, or crew inputs through the tools, we do not retain server-side records of those inputs from normal tool use. The retention provisions below concern separate account, payment, support, security, or other information that we actually receive. We retain that information only as long as reasonably needed to provide the Services, support an active account, resolve disputes, maintain necessary business records, and meet legal obligations.

Retention depends on the category of information, the account or transaction involved, legal requirements, security needs, and whether a dispute or investigation requires preservation. Account, payment, support, and security records may therefore have different retention periods.

When information is no longer needed, we delete it or de-identify it as appropriate. Deletion may be subject to lawful retention exceptions and the ordinary backup lifecycle; retained backup information is not used for new purposes inconsistent with those exceptions. Local browser storage and exported files remain under the control of the device user.

To request deletion of information we hold, email support@fuelsmart.io. We will explain any applicable retention exception when responding, as required by law.

We use reasonable administrative, technical, and organizational measures intended to protect personal information against unauthorized access, loss, misuse, or disclosure. The measures depend on the information and the Services involved. No system or transmission method can guarantee absolute security.

Protect your devices and credentials, avoid reusing passwords, and do not send passwords or unnecessary sensitive information in support messages. Contact support@fuelsmart.io promptly if you suspect unauthorized access or an information-security issue.

If a security incident requires notification, we will notify affected individuals or authorities as required by applicable law. This policy does not waive our legal security or notification obligations.

Depending on your location and which laws apply, you may have rights to know about or access personal information, obtain a portable copy, correct inaccurate information, request deletion, restrict or object to certain processing, withdraw consent, or appeal a decision on your request. Legal exceptions may apply.

Send requests to support@fuelsmart.io with “Privacy Request” in the subject and describe the request. Use the email associated with your account where possible. We may seek proportionate information to verify identity or an authorized agent’s authority before disclosing or deleting information. Do not send identification documents unless we specifically request them through an appropriate method.

We respond within applicable legal time limits and explain any lawful extension or refusal. Where an appeal right applies, reply to our response with “Privacy Appeal.” You may also complain to your applicable privacy regulator or supervisory authority. We will not unlawfully discriminate against you for exercising privacy rights.

Where California privacy law applies, the rights available may also include limiting certain uses or disclosures of sensitive personal information and opting out of sale or sharing. We do not sell personal information or share it for targeted or cross-context behavioral advertising. We honor applicable privacy-choice requirements, including legally required treatment of recognized opt-out preference signals.

Withdrawal of consent does not affect processing that was lawful before withdrawal or processing permitted on another legal basis. You may control device permissions and browser storage separately. Deleting an account may affect access, but cancellation of a subscription must also be handled through the applicable billing channel.

PlaneCare is a United States provider. Information may be processed in the United States and in other countries where the providers involved in delivering the Services operate. Their privacy laws may differ from those in your country.

Where a transfer is subject to legal safeguards, we use the applicable lawful transfer mechanism and required protections. Contact support@fuelsmart.io for information about safeguards relevant to your request.

Our Florida choice of law in the Terms & Conditions does not remove mandatory privacy protections available to you under applicable law.

If your organization provides access, it may administer your account and control information on its own devices, systems, or shared reports. This does not mean PlaneCare collects calculator, flight, route, or crew inputs. Ask your administrator about your organization’s own policies and access arrangements.

Where we process personal information on an organization’s behalf under a data-processing agreement, that agreement and the organization’s lawful instructions govern that processing. We may direct a request to the organization when it is responsible for responding. We remain responsible for information we handle for our own account administration, billing, support, or legal purposes as applicable.

The Services are intended for aviation professionals and other adult users, not children under 13. We do not knowingly collect personal information from children under 13.

If you believe a child has provided personal information, contact support@fuelsmart.io so we can investigate and take appropriate steps, including deletion where required. Any higher age or additional protection required by applicable law continues to apply.

We may update this policy as the Services or legal requirements change. The revised policy will show its effective date. We will provide notice of material changes and obtain consent where required by law.

Changes do not authorize uses of previously collected information that applicable law prohibits. You may contact us to ask about the policy or the handling of your information.
